Gazebo Pass Applications Now Open for Season 2026
Bands can now apply for gazebo passes for all local contests. It will be one application to cover your for the entire season. Applications are submitted through an online form, where you can select each contest at which your band wishes to erect a gazebo.
Please read the information below carefully before submitting your application.
This application is for the permission to erect a gazebo in line with our event management plans. A gazebo pass does not specifically provide parking rights. We endeavour to accommodate each gazebo crew as practically as possible, however as every venue is different, together with other factors such as weather, the arrangements for each contest will be published on the relevant contest event pages ahead of the event.
After you apply for your pass and provide your relevant insurance document, any Championship that your band has selected and is entered to compete at, can then be automatically issued with a parking pass for one vehicle where the event site allows. The parking pass will be issued via email at least 48hrs before the event and there will be specific instructions regarding the entry times and specific locations for erecting and parking. As with last season, where available, it must be limited to one vehicle, per band, and we ask that all bands work with event officials to maximise the space available for everyone.
Application Requirements
To complete your application, you must provide evidence of adequate Public Liability Insurance covering the erection and use of your gazebo.
You can submit your insurance schedule by:
- Uploading it directly through the application form, or
- Emailing it to contests@rspbani.org
Applications without valid insurance documentation cannot be approved.
Terms & Conditions
By applying for a gazebo pass, you agree to the following:
- You must ensure your gazebo is erected safely, securely, and in accordance with the event management plan, and your insurance provider’s requirements. Any damage or injury caused is your responsibility.
- You must comply immediately with any instruction from event officials (Branch, Section, or Council) to move or take down your gazebo. This may occur due to high winds, space constraints, or other safety concerns.
Where gazebo crew parking is available:
- It is limited to one vehicle per band. There is no exceptions to this.
- We will endeavour as much as possible to ensure this is either on the practice area or as close to it as possible for traffic management.
- A parking pass will be emailed at least 48 hours before each event.
- You must show this pass to security personnel to gain access to the designated area.
Respect for Officials
Please remember that most event officials are volunteers. The Branch operates a zero‑tolerance policy on unacceptable behaviour. All participants and supporters are expected to treat officials with courtesy and respect at all times.
